We specialize in community associations and only community associations.  There will be no conflict of interest if there is an issue with any vendors or homeowners that may arise.  We focus on the needs of the association and what will benefit the community on the whole.  Vista doesn’t have anything to sell other than our management service. Strictly speaking, our client's best interests are all that matter.

Vista bases our success on consistently building outstanding relationships with the Boards, homeowners and reliable contractors. Our relationships bring value and comfort to the maintenance and running of your association.

Most management companies are able to provide the basic services, such as compiling financial statements, collection assessments or paying invoices.  However, our values set us apart:

· To return calls and emails within one business day

· To never give out the phone numbers of Board members unless upon request.  We know you volunteer your time, and it is precious!

· Organize and direct the affairs of the association

· To always be uniform, courteous and professional.

· Third party objectivity in the decision making process

· Anticipate and recommend solutions for association problems

· Maintain excellent communication with the Board

· To perform as a team, whether it be with the Board, vendors or with staff.

· Many years of experience with multi-phase condominiums, and Co-Ops including in depth understanding of the financial statements.

 

Some of our services include:

Accounting Services:

· Financial Statements are prepared on a monthly basis; they include balance sheet, income statement/budget variance report, bank reconciliation, check disbursements journal, accounts receivable/delinquency listing, general ledger and copy of bank statements to be presented to the Board.

· We will coordinate with the CPA that you choose for your taxes, and year end compilation, review or audit.

· We will assist the Board in preparing the budget for each fiscal year.

· Vista will complete the appropriate corporate reports and other filings with the state on behalf of the association, including 1099 reporting.

· Place proper insurance coverage on the association, including liability, property and directors and officers.

Banking:

· No fees, free lock box and ACH (direct debit) services, no restrictions to access your funds.  The benefit is that each Association’smoney is working for it at all times.

Accounts Receivable:

· Vista is able to provide the Association with lockbox and ACH (direct debiting services) through that we have established a relationship with at no cost to the association.

· Credit card payments are accepted over the internet at no cost to the association.

· We coordinate the coupons, statements or billings as per the Board’s direction.

· A strict collection policy is adhered to and have cut the collections down from some of our associations by 90%

· Vista has a strong working relationship with the attorneys that specialize in community associations in the Central Florida area and work closely with them to receive the desired goal: payment in full of the dues.

Accounts Payable:

· Checks are cut at least twice a month and copies of the invoices are provided with the checks.  All stubs and information needed by the vendors is already located inside the stamped envelope attached to the checks and invoices.  All you need to do is review and sign!

· All unusual bills are first approved and account coded before processing to ensure accuracy.

· Provide complete payroll service, including tax payments.

Change of Ownership:

· Vista provides estoppel services at no cost to the association.  The estoppel letter is requested by title companies to ensure that the title is clear before the deed to a home is transferred.  This process ensures that the association is made whole at the closing.

· Also included in the estoppel letter is any open violations covenants so the new owner is aware of any existing problems.

· A package consisting of a welcome letter and coupons or an invoice, if applicable, are sent to the new homeowners.  This package can becustomized to fit the association’s needs.

Meetings:

· The manager will construct a Board packet at least five days before the Board meeting.  The packet will include: agenda, minutes that need to be approved, manager’s report, violations report, collections report, financial statements, and any other applicable items deemed so by the manager.

· The manager will post the notice of the meeting in accordance with Florida Statutes.

· We will attend the meetings and record minutes on behalf of the Secretary.

· The annual meetings of the membership will be attended and coordinated by Vista Management.

On-Site:

· Your manager will perform inspections of the common property, address any maintenance issues and bring to the Board any concerns.

· Inspect the units to ensure compliance with the association’s CCRs. 

· Assist the Board in obtaining competitive bids for contracts

· Meet with vendors to obtain quotes or to perform walkthroughs.

· Upon request,meet with homeowners to address any issues or concerns.

Homeowner Issues:

· Process all Architectural Review Applications promptly.

· Twenty-four hour response service by a licensed manager, not an answering service.

· Quick responsetime.

Developers:

· Assist in creation of Declaration, Articles of Incorporation and Bylaws.

· Coordinate turnover with attorneys to the satisfaction of the developer and the homeowners.

· Set upArchitectural Control Committee Procedures.

Website Access:

· Homeowners can make payments, view their account and violation history online.

· For the residents, our websites can include: garage sales, homes for sale and lease, Architectural Review applications, documents, map, events calendar, facility reservations, surveys, recipe exchange, photo galleries, and even a resident phone book where homeowners can fill out desired information to share with the community.   They can even sign up to be alerted when activities are happening within your association.

· For Board members, view Board-only documents, a message board and live chat, vendor database and much more!
